Sunnyvale Public Records Inventory

Most records connected with Sunnyvale are not kept by one office. The city holds council, permit, code, and service-request material. Santa Clara County keeps the heavier name-linked systems, including recorded documents, assessment data, court cases, certificates, voter files, and custody information. California agencies supply statewide business, license, prison, and vital-record sources. Access can mean a free online index, a paid copy, a counter inspection, or a file released only after legal limits are applied.

Some material is closed or partly redacted. That includes juvenile and sealed cases, adoption files, confidential marriages, protected voter addresses, motor-vehicle personal data, sensitive law-enforcement details, and restricted military discharge records. Court files follow court-access rules rather than the ordinary California Public Records Act process. The public status of a record also does not guarantee remote download.

Sunnyvale Records Offices and Portals

Sunnyvale is not the county seat. The main county record keepers are in San Jose, while municipal requests begin with the Sunnyvale City Clerk. A portal should be treated as one channel, not the whole office. Staff can point to mail forms, counter copies, terminals, microfiche, or a more precise request route when a screen search stops short.

The Sheriff has separate request and viewing routes for law-enforcement material. The county Archives preserves older county-government records and offers catalog-based reading-room research by appointment. That division of work matters: sending a deed request to City Hall or a permit request to the Recorder slows the search.

Sunnyvale City Records Channels

Many city records can be found before a formal request is filed. The Sunnyvale Documents Portal points to Laserfiche for City Clerk material and to Legistar for council, board, and commission agendas, packets, minutes, and staff reports. E-OneStop holds permit applications, plan history, related documents, inspections, comments, and payment activity. The Accela code-enforcement search provides date-range controls and a search-type menu. These systems cover different records, so a missing result in one is not proof that the city has no file.

For material not posted, use the City Clerk route online or in person. The city lists paper copies at 15 cents per page plus postage. Request text itself becomes a public record, so describe the record with enough detail to locate it but avoid adding unneeded private facts. MySunnyvale replaced Access Sunnyvale on June 22, 2026 for service requests, which makes older instructions using the former platform name stale.

Sunnyvale Property Records Reveal Limits

The Santa Clara County Assessor Real Property Search is useful, but it is intentionally not a public owner-name directory. Online users search by property address or assessor's parcel number, known as an APN. Results can show the property address, APN, assessed value, mailing address, document number, parcel map, and other property facts. The office says individual owner names are not displayed online and the site cannot be searched by owner name. The captured screen shows how Sunnyvale property data is entered.

The separate address and APN modes explain why a street location or parcel number is the key starting fact for remote use.

The web limit has an important counter-side exception. At 130 W. Tasman Drive, the Assessor provides public computers and microfiche plus an indicated-sales-price transfer list. That list can include buyer, seller, APN, address, land use, transfer and recording dates, document number, and indicated price. The office lists a nominal viewing fee and photocopy charge. A web APN can therefore lead to name-linked transfer evidence at the counter. SCCMap and Property Explorer add parcel geography, district layers, and map context; the County GIS office also provides a map-data request channel.

Sunnyvale Court Records Access

Sunnyvale court matters run through the Superior Court of California, County of Santa Clara. Its Case Information Portal covers civil, small claims, probate, some family, traffic and local ordinance, and criminal information. A separate search interface exposes case-number, party, business, and filing-date modes. A docket is the case's event and filing log. It can provide a case number, party names, case type, filing date, and hearing or register-of-actions entries when those details are public.

Index access and document access are not the same. Filings are generally not posted in full, and copies may require the clerk, a case-type request form, mail, or in-person service. Courthouse public terminals can show open electronic files that are not available remotely under California Rule of Court 2.503. For criminal file copies, the court asks for a case number; its page notes a portal route for finding numbers in cases filed in 2004 or later.

Since January 1, 2026, AB 1524 allows a person who is entitled to view an electronic court record at the courthouse to photograph it as a copying method, subject to the court's limits. Sealed, juvenile, mental-health, adoption, and other protected files remain restricted.

Note: A party-name hit identifies a case trail, but the clerk or courthouse terminal may still be needed for the underlying record.

Sunnyvale Vital Records Copy Rules

Santa Clara County keeps birth and death records for county events from 1873 to the present and marriage records from 1850 to the present. CDPH Vital Records supplies the statewide channel, generally from July 1905 forward. A marriage certificate belongs with the county that issued the license. Divorce files, by contrast, run through Superior Court rather than the normal certificate-order path.

The county's birth certificate order page documents both its historical reach and available copy channels.

The order page is a copy route, not an open name index, and the requested copy type determines what proof is needed. County and state channels include online ordering, mail, and in-person service, with forms and payment methods set by the office used.

California Health and Safety Code section 103526 separates authorized certified copies from informational copies. Authorized copies require an eligible relationship or legal role, and an authorized mail request generally needs a notarized sworn statement. Other requesters may receive informational copies of many birth, death, and nonconfidential marriage records, marked as not valid to establish identity. Confidential marriage copies are limited to the parties. CDPH posted a 2026 fee-change notice, so current costs should be checked on the agency's fee page instead of relying on an old quoted amount.

Sunnyvale Deeds and Recorder Copies

The County Clerk-Recorder holds deeds, liens, recorded maps, financing records, transfers, fictitious business name filings, CEQA filings, notary oaths, and other recorded instruments. Its Self-Service portal begins with a disclaimer. The portal calls the index similar to a library card catalog, warns that it is not the underlying document, and advises trying all possible spelling variations. The research did not verify the portal's first online year or its deeper field labels, so neither should be assumed.

When an index result matters, order or inspect the instrument. The published standard recording schedule includes $25 for the first page, including the $10 Real Estate Fraud Prevention Fee, and $3 for each additional page. Those are recording charges, not a promise that every copy costs the same amount. Maps, data reports, and document copies follow the office's relevant fee path. Military discharge and DD-214 copies have restricted procedures.

Sunnyvale State Records Lookups

Several California databases fill gaps left by local offices. The Secretary of State's business search covers corporations, limited liability companies, and limited partnerships. Its UCC search supports debtor, secured-party, and file-number searches for financing statements. The Department of Consumer Affairs lookup verifies many regulated licenses and may show current or expired status and discipline. These are official state indexes, but each describes only the filings or licenses held by that agency.

The search separates official entity filings from city permit records and county fictitious business name documents. For licensed occupations, the California DCA License Search is the relevant statewide source.

A license result can help confirm the name, board, status, and public disciplinary facts maintained by the responsible board.

Sunnyvale Custody Records Routes

Sunnyvale has a city Department of Public Safety, but county jail records belong to the Santa Clara County Sheriff. The Sheriff's current inmate search answers present-custody questions. Sheriff files not exposed there can be sought through the public-records request route, which permits anonymous requests, or reviewed through the Records Division at 55 W. Younger Avenue in San Jose when that channel applies.

State prison information comes from CDCR's CIRIS system, which may show a person's name, CDCR number, age, location, commitment counties, admission date, and parole-hearing information. The federal Bureau of Prisons locator covers federal inmates from 1982 forward. California VINE is a custody and case-notification service, not a full archive. The Megan's Law website displays only information disclosable under California law, so it should not be read as a complete list of all registrants.

Juvenile facts, victim information, medical or mental-health details, active investigative material, and protected addresses may be withheld or redacted. A custody result also does not equal a complete criminal history.

California Records Privacy Boundaries

California draws different privacy lines for each system. Vital-copy eligibility comes from Health and Safety Code section 103526. Remote court access is narrowed by court rules. Voter files exclude driver license numbers, Social Security numbers, and signatures, while protected voter addresses may be withheld. Safe at Home provides qualifying participants with a substitute mailing address that agencies use in place of a residential address.

Privacy rights for covered private businesses operate separately from government record exemptions. The California Consumer Privacy Act gives residents rights to know, delete, correct, limit certain sensitive-data uses, and opt out of sale or sharing where the law applies. The California Privacy Protection Agency's DROP system is designed to send one deletion direction to registered data brokers. It does not erase lawful court, recorder, or agency source records.

Note: An agency may redact protected details and release the rest, rather than treating every request as wholly open or wholly closed.

Sunnyvale Recorded-Document Warnings

Recorded documents can expose fraud as well as ownership history. The Santa Clara County District Attorney's Real Estate Fraud Unit reviews forged or false deeds, mortgage fraud, and related schemes. A complaint should be supported with relevant deeds, contracts, escrow papers, correspondence, checks, and other records. Suspicious instruments can also be checked through the Clerk-Recorder's official copy process.

Private deed-copy offers may charge far more than an official copy. Verify the document number and current fee through the county before paying a solicitor. Old deeds may also contain unlawfully discriminatory restrictive language. The Clerk-Recorder's covenant modification program addresses that language while keeping the historic record in the chain of title.

Public data must be used lawfully. Do not use addresses, court facts, custody information, or other records to stalk, harass, threaten, or harm anyone.

Request Sunnyvale Public Records

The California Public Records Act, Government Code section 7920.000 and following, applies to state and local agencies. Under section 7922.535, an agency generally has 10 days after receiving a copy request to determine whether it seeks disclosable records in the agency's possession and to give notice of that decision and its reasons. That is a determination deadline, not a promise that all responsive material will be produced in 10 days.

1. Identify the custodian. Send city files to Sunnyvale, deeds and certificates to the Clerk-Recorder, Sheriff files to the Sheriff, and agency-specific state records to the responsible department.
2. Check the direct channel. Search the relevant portal, order page, terminal, or counter service before filing a broad request.
3. Describe the record. Give useful dates, subjects, addresses, document numbers, case numbers, or departments without adding needless private data.
4. Choose the format. Ask about inspection, an electronic copy, a paper copy, or certification. Fees can differ by format and by statute.
5. Review the response. If records are withheld, read the cited exemption, narrow an unclear request when useful, and ask the agency about its review process.

Courts do not process case-file access as ordinary CPRA requests. Vital records, voter data, sheriff material, and recorder copies also have their own forms, proof rules, or fees. The correct specialized route usually yields a clearer response than a broad request to the wrong office.
